Our 35th Annual Kiwanis Trade Show
Important Reminders!!!!!!
1)
Returning
participants have until Feb 1, 2010 to register and secure their booth choice.
2)
100% of payment is due at
registration.
3)
After 12:00 Friday,
the front entrances are not available for unloading hand carried item only no trolleys no
dollys.
4)
If you need
phone connections please arrange this well in advance with Telus. Internet service is not available!!
5)
Special
“exhibitors only” parking is available in the Central Middle School Parking Lot
(behind the arenas) starting at 3:30 pm Friday. Do not park in the parking lot
in front of the arena’s.
6)
No parking
next to the rear entrance to arenas at any time.
7)
We will
supply a forklift for loading and unloading on Thursday & Sunday ONLY. You need to book
times with Arleene 250-719-9559.
8)
The floors in
both arenas are cement, if you want carpeting to stand on, please bring your
own or you can rent carpets through Superior Shows.
9)
If you need
more than the one table and two chairs (which are included), either bring your own, or make arrangements
with Superior Shows. (If you need a special size, bring your own.)
10)
There is a
social for all exhibitors on Saturday night at the Curling Rink. Hot meal
provided. Starting at 9:00 pm. 2 dinner tickets per booth. Extra tickets are
$20 each.
11)
No breakfast
supplied, however Kiwanis food booth is open one hour ahead of opening each day
serving: coffee, muffins, & danish.

PASSES ....................................................... Two passes will be issued to

small booth exhibitor and

All booth workers need passes or they will be charged at the gate. Access to the Exhibition areas will be denied to any personnel not wearing a Trade Show 2010 pass. Extra passes available at the office for $5.00

Subletting of
Space ............... Exhibitors will NOT be permitted to sublet the
space allotted to them, or any portion thereof. Also, the exhibitor will not
use space for any purpose other than that shown on the application. Any breach
of this clause will mean forfeiture of space allotted and non-refund of rent
paid.
Completion Time................... Space allotments may be cancelled by the Show
Manager if exhibitors fail to occupy the space allotted to them by 2:00 pm with
the exhibit specified on their application before noon of the first full day of
the Show. This will mean forfeiture and non-refund of rent paid.
Space Restriction ................. Exhibitors must confine all exhibit structures and activities to
within the limits of the space allotted to them. Salespeople and demonstrators
are prohibited from operating in the aisles and from extending their activities
into the aisles in such a way as to be a nuisance or interference to the public
or to other exhibitors.
Noise ..................................... Undue noise made in the operation of exhibits,
or noisy or unseemly methods employed in sales or demonstration activities,
will not be tolerated. All exhibitors must have an equal opportunity to conduct
their own demonstrations without interference from their neighbours. The decision of what constitutes undue noise
or any unseemly method shall rest with the Show Manager, whose decision shall
be final.
Amplifying
Devices .............. The use of amplifying devices inside exhibit
booths is prohibited. This ruling does not apply to the demonstration of
products such as radios, televisions or VCR displays, however it is recommended
that headphones or headsets be utilized.
Price Signs ............................ Signs tending to price competition are
undesirable and will not be permitted. Where prices must be advertised, signs
must be small, neat and inoffensive, and the Show Manager shall have the right
to prescribe their character and number.
Give Aways ........................... Exhibitors are not allowed to give away noise
makers, free coffee, drinks, etc. If you contemplate giving anything away, it
would be to your advantage to check first with the Show Manager.
NOTE:
All draw tickets and stubs must contain the name of the company conducting the
draw.
Show Liability........................ The Show Management will provide Security unto
the extent set out herein pursuant to “Security”, and it shall not otherwise be
responsible in any manner for the persons, property or materials of the
exhibitors or owners or their agents, servants or employees. The exhibitors or
owners shall assume the risks of exhibiting their property and materials, and
should any exhibit or portion thereof or any property in connection therewith
be injured, lost, stolen or suffer damage from any cause whatsoever, the Show
and its Management will not be liable therefore in any manner whatsoever. Small
and invaluable exhibit material should be packed away each night.
Height and Size
Limitations for
Displays ....... No display can exceed the contracted area. The
height restriction for backwall and sidewalls for the standard draped booth
areas also applies to the exhibitors display. There is no limitation on the
height of equipment on display in the bulk space areas, provided such equipment
is self-supporting and free standing. Equipment on display platforms may be
subject to display height regulations.
Exhibitors
Liability ............... In addition to what is imposed by law or by
this contract respecting the liability of exhibitors and owners, it is agreed
and understood that each exhibitor and owner shall indemnify and save harmless
Kiwanis International and the Dawson Creek Kiwanis Club and each of them of and
from all claims, demands, suits and actions arising from this contract and/or
the participation of the exhibitor and owner in the Dawson Creek Trade Show
which may be imposed upon either or both of Kiwanis International or the Dawson
Creek Kiwanis Club as result of any act or omission on the part of the
exhibitor or owner or on the part of any of its or their clients, servants or
employees.
Damage to Show
Property... Exhibitors are responsible for all damage
caused by them to show or arena property.
Public Liability Insurance.... It is the Exhibitors
responsibility to provide their own coverage for Public Liability, Bodily
Injury, Properly Damage and Product Liability. We recommend that a per
occurrence minimum be not less than $1,000,000 coverage.
Security.................................. Security is provided on Thursday 9:00 p.m.
Friday 9:00 p.m. Saturday and 9:00 p.m. Saturday until 10:00 a.m. Sunday.
(Arenas will be secured during non-exhibition hours)
Staffing of Exhibits ................ Exhibitors are required to maintain staff in their
exhibits at all times during the hours of the show.
Booth Cleaning ..................... Sweep your booth at closing and deposit
garbage in the aisle for the night sweepers to remove.
Alcoholic
Beverages ............ The use of liquor (spirits, wine and beer) by
exhibitors in their exhibit area is contrary to regulations set out by the
Liquor Branch.
Entry to the Show ................. Show Management reserves the right to refuse admission to the show
building to any visitor, exhibitor or exhibitor's employee, who in the opinion
of the management, is unfit, intoxicated, or in any way creating a disruption
of the show.
Show Management
on Site.... Throughout the entire show period, Show
Management will maintain a show office. Supervisory personnel will be available
to service exhibitors during move-in and move-out periods.
Contracts............................... Confirmation of your Registration Card implies
your acceptance of the Regulations and Clauses herein described.
Cancellations......................... lf canceled prior to February 15, 2010, full refund
will be provided. Between Feb 15 and March 31, 2010, a refund of 50% of the
payment received will be provided. No refund will be provided after March 31,
2009.
Sales ...................................... Ticket sales as well as product sales can only
be sold at your own booth area.
Move In
Goods will be received at the Arenas from 8:00 a.m. to 8:00 p.m. Thursday.
NOTE: Forklift service is available you must arrange in advance

All exhibits must be in place not later than 2:00 p.m. on Friday.
The front or main
entrance is not available
for use after 3:30 p.m. on Friday, April 23rd.
Entrances at the rear of the arenas will still
be available for use after 3:30 p.m.
The placing, moving, altering or dismantling of exhibits after 2:00 p.m. on this date will not be permitted without prior written permission of the management.
Each booth receives one 8’ table and two chairs. The table will be provided properly draped. Please contact the Service Contractor prior to show dates if you wish to make arrangements for extra tables or chairs. Costs for extra or different tables and chairs are to be paid directly to Superior Shows.
Move Out
No displays may be removed from the show
building
prior to 4:00 p.m. on the closing Sunday.
Exhibitors must make arrangements necessary to ensure complete dismantling and removal before 12:00 noon Monday.
Exhibitors are
encouraged to move out all goods on the final night of the Show. Show
Management will not be responsible for goods left unattended in the building
during the move-out period. If you do not want to move out you should have
someone watch your goods until the building is locked. Doors will be open on
Monday for final move-out. All exhibitors must be completely clear of
the building by 12:00 noon on Monday.

BOOKINGS
Exhibitors who participated in the 2009 show have until 5:00 p.m. February1, 2010 to register and secure their space in the 2010 show. Thereafter it will be on a first come basis. For further information please contact Arleene at 250-719-9559.
SET UP
8:00 a.m. to 3:30 p.m. Friday, unless prior arrangements have been made for an earlier setup.
FIRE
EXTINGUISHER
All exhibitors should bring a 2½ lb fire extinguisher as part of their equipment.

Sunday after 4:00 p.m. All exhibitors must have their products out of arena by 12:00 noon on Monday.
